Information & Responsibilities

The Oro Valley Amateur Radio Club (OVARC) is a 501(c)(3) organization. Operating as a Limited Liability Corporation (LLC) through the Arizona Corporation Commission (ACC), OVARC has an approved constitution and bylaws which is available to all club members.

The purpose of the club, as noted in the constitution and bylaws, is to further the exchange of information and cooperation between members, to promote radio knowledge, fraternalism, individual operating efficiency and to conduct club programs and activities to advance the general interest and welfare of the amateur radio community.

The Board is tasked with the overall well-being of the organization including implementation and adherence to the club’s constitution and by-laws. Details of the Board, Officers and elections are all in the constitution and by-laws.

As noted in the Constitution and By-laws, Directors and Officers must fulfill their responsibilities to the organization by meeting routinely regarding club business and activities. There are monthly meetings of the Board and monthly meetings of the general membership except for the month of December. Annually there are 23 meetings to which Directors are expected to attend. If a Director cannot attend a meeting, it is up to that Director to enlist another individual to cover their areas of responsibility. Excused absences are typically associated with a public service event or a regional or national amateur radio convention.

Monthly membership meetings are a time when the general membership, their guests and other visitors come to socialize and view educational presentations associated with Amateur Radio. It also represents a time when Directors are expected to meet and socialize with the members. Informing the members of the club’s activities and direction is expected. Likewise, members should be encouraged to give feedback and ways to improve and grow the club membership.

Club activities and club finances are two major areas of responsibility. OVARC, like other clubs, is burdened with expenses so it us up to the Board to implement and maintain financial controls so that the club can pay its obligations. With the help of interested members, many activities are sponsored by the club. Sometimes these activities require a financial contribution and it is the responsibility of the Directors to vote on such matters.

Directors are also expected to contribute in some form to the needs of the club. Assistance at the annual Hamfest, assistance at the Annual Holiday Christmas Party, purchasing of raffle items and setting up at operating events are just some examples of how Directors exercise their duties and responsibilities.

Amateur Radio is a hobby enjoyed by many. Running a club requires sacrifices of time in order that club members can enjoy the club’s activities. The participation of ALL Directors in running club operations will ease the burden.

Thank you for considering the position of Director. It can be very demanding but also very rewarding.
